Importing and updating elements as a workspace administrator
To import or update elements, you need a file in .xls format with the rows or columns corresponding to the attributes of the element type.
About this task
You can either import new elements in a module or update the existing elements in the module. You can import and update all attributes except for the attribute types File, History and Matrix from within the module. The maximum limit for the cells in the spreadsheet file is to 8 KB where each cell contains approximately 8100 characters.
When you import or update links and hyperlinks from a spreadsheet to a text attribute, the link is displayed as plain text.
Procedure
1 In the Modules menu, click the module to which you want to import the elements.
2 In the bottom frame, click Import.
3 In the Import frame, click Browse to select an Excel file.
4 Select the worksheet that contains the elements and their attributes.
5 In the Matrix setup, select Each ROW, if each row in the worksheet contains the attributes of an element. Select Each COLUMN if each column in the worksheet contains the attributes of an element. It is optional to include the attribute names in the worksheet.
6 Click OK to open the next frame.
7 Select the information to update.
To increase performance, large files are imported in chunks. Select Fetch size from Maximum number of rows per page if applicable. The page index is updated accordingly.
8 To update existing elements, select an attribute that identifies the elements like the ID attribute. If no matching element is found, you can either ignore the values or use them to create a new element.
9 Select which attributes to use for the columns. If the first row or column of the Excel sheet contains attribute names, the attributes are automatically selected.
10 Select the elements to update or import. You can edit the value of a cell, and then click Save before updating the value.
11 Click Import.
