Managing products and portfolios : Configuring views

Configuring views
To manage the views in a workspace, click the Settings icon Settings icon, and then, from the Configure group, click Views. Views are used for filtering elements and their attributes in a module.
For each module that you create in a workspace, a corresponding module view is created by the application. There are module views corresponding to system modules also. As a workspace administrator, you can access the workspace modules by selecting the corresponding module view from the Display menu. Module views are deleted when a module is deleted.
All the members in a workspace can access views. Members can have different levels of access to the information in the modules. For example, some members might have access to a view that displays their project proposals in the Project portfolio module. Other members might have access to a view in which they can add features to the Feature planner module.
You can associate views with specific functions: Add, Display, Review, Prioritize, and Visualize. You can arrange the attributes in any order as needed. You can configure views to display subsets of toolbars. You can also group the views listed in the Add, Display, Prioritize, or Visualize menus.
In the Views page, all of the views in a workspace are listed. All workspace members can see a list of their views. To manage the views, use the Actions menu for all of the available options to manage the views. The page can be used to add, edit or delete views. A workspace administrator can add or remove a member's access to a specific view by selecting Manage from the Members group in the Settings menu. In the Members view displayed, you can edit the My Views field to add or remove the access of a member to any of the available views.
Note To see the changes that you make to the view order reflected in the list of Views in the display menu, add, or edit operations in a workspace, you must leave the workspace and enter it again.

When you generate a URL link to any element, the URL link identifies only the element and not the view. When a user clicks the URL link, the element is displayed in the first valid view that the user has access to. For example, consider that user1 has access to view1 and view2, and user2 has access to only view2. When user1 sends the link to user2, the element is displayed in view2 for user2. You cannot use the Views view to remove an inherited view from a member's view list. To manage inherited views, use the Inherit From attribute in the Members menu.
